Encampment is the culmination of the five key traits of cadet life – the uniform, aerospace themes, opportunities to lead, challenge, and fun (ref: CAPR 60-1) – in an intensive environment that moves cadets beyond their normal comfort zones for personal growth. Through activities such as rappelling, obstacle courses, military training familiarization, and the like, encampments encourage safe, calculated risk-taking in a safe environment.

ARE THERE RANK OR AGE REQUIREMENTS TO ATTEND ENCAMPMENT?

In order to participate in Encampment, a cadet must have reached the rank of C/Amn prior to the start of Encampment. It is recommended that cadets under the age of 14 have participated in at least a weekend overnight activity to ensure they are ready to be away from home for a full week.


IS THERE FINANCIAL ASSISTANCE AVAILABLE?

Financial Assistance is available to assist economically disadvantaged cadets attend encampment. If a cadet wants to attend an encampment, financial considerations should not be a factor holding them back. If you are planning on applying for financial assistance, please use the "PAY BY CHECK" option to pay. Once it has been determined how much financial assistance will be awarded to you, we will send you a link on how to pay the difference, if any. Please note that the VAWG Scholarships application will close on 12 MAY 2018 and those awarded the scholarship will be notified no later than 26 MAY 2018.


IS THERE A LIMIT TO THE NUMBER OF CADETS WHO CAN PARTICIPATE?

Yes, this year we have 198 first year Student slots and 66 second year - Advanced Student slots available.


HOW DO I RECEIVE A GUARANTEED STUDENT SLOT AT ENCAMPMENT?

A successful applicant is one who has registered online, emailed all completed paperwork into enc-da@vawg.cap.gov and has made payment or has mailed in a check to the Virginia Wing and it has been received by our office.


HOW DO I RECEIVE A STUDENT SLOT AT ENCAMPMENT IF I HAVE APPLIED FOR A SCHOLARSHIP?

When you register for encampment and you know you are applying for a scholarship, we ask you to use the "PAY BY CHECK" option for payment. There is also a question on this online registration system that asks you if you are applying for CEAP or a VAWG scholarship. Once your online registration is complete and your paperwork is complete and has been accepted by Admin, you will be awarded a Scholarship Student slot.

Once the CEAP and VAWG scholarship funds are awarded, we review. If you have a 100% funding, you automatically get moved to the Guaranteed Student list. If you receive a partial award, you are contacted and given 48 hours to make arrangements for funding the uncovered amount. After 48 hours if you have not been in contact with us, you will be moved to the waiting list.


WHAT HAPPENS WHEN THE STUDENT SLOTS ARE FILLED? DO YOU HAVE A WAITING LIST?

Yes, when the Student and Advanced Student slots are filled Encampment will go to a Waiting list. What this means is this - when encampment is full, anyone who still is in the process of registering and/or filling out forms and/or making payments will be added to the waiting list based on the date and time of their last submission to the registration process (i.e. made a payment online, a check postmark rec'd in the mail, a date/time stamp of an email that was sent, etc...). As your registrations are completed, you will be moved to the top of the waiting list, again in the order that they were deemed completed.

PLEASE BE ADVISED THAT VIRGINIA HAS GONE TO A WAITING LIST FOR THE LAST FOUR YEARS.


HOW DO PEOPLE MOVE OFF THE WAITING LIST INTO STUDENT SLOTS?

As we have cancellations (and they do happen more than you think!) the student on the top of the waiting list is contacted and given 24 hours to respond. If you accept the slot, you are moved to the Guaranteed Student list. If you pass at the time, you will keep your number one position on the list. If you pass on a slot twice, you will move to the bottom of the completed paperwork waiting list.


WHAT PAPERWORK IS REQUIRED FOR ENCAMPMENT?

To attend Encampment, you will need to fill out a CAPF-31, CAPF-160, CAPF-161. and if you are under 18 on 24 JUN 2018, a CAPF-163. These forms must be filled out completely according to Admin guidelines (following below). If your paperwork is missing information, a request will be sent back to you detailing the discrepency. Your forms will not be deemed complete until all discrepencies are addressed and the form is returned to enc-da@vawg.cap..gov

You are encouraged to fill out the forms and then save them to your computer. This way you always have the forms filled out and ready to be printed for signatures. Any time you have a change in information (i.e. name and dates of activity on the CAPF-31) you can go, fill in the changes and print it off.


HOW DO I FILL OUT MY PAPERWORK PROPERLY?

All forms requiring signatures will need to be scanned in or photographed to email back into enc-da@vawg.cap.gov.

Should you not have access to a scanner or computer, please contact your local unit for assistance.

These forms allow us to avoid any unnecessary delays in getting you medical attention should you need it.

CAPF-31:

1. CADET MUST "wet" sign (actual signature in ink) on the front (bottom) of the form.

2. PARENT/GUARDIAN MUST "wet" sign (actual signature in ink) on the back of the form. Only one signature is necessary, but both parents may sign.

3. A WITNESS MUST "wet" sign (actual signature in ink) for each parent/guardian signature on the back of the form. One witness may sign for more than one parent/guardian signature.

4. SQUADRON COMMANDERS (or their Designees) MUST sign on the back of the form. This signature may be "wet" or may be electronic. This is the only signature that we may accept electronically. To us, the electronic signature means, the Squadron Commander (or his/her designee) must send an email directly to ENC-da@vawg.cap.gov (PLEASE NOTE THIS AN EMAIL MUST LIST THE CADET'S NAME AND THE ACTIVITY EITHER IN THE BODY OF THE EMAIL OR THE SUBJECT LINE).

CAPF-160:

1. ALL FIELDS on this form MUST be filled in with either information or "NONE". If a field is left blank, the form will be returned to you to be revised and your registration will not be considered "complete" until the form is returned and deemed "complete".

2. Please note the fields are as follows:

NAME, GRADE, CAPID, CHARTER NUMBER, DATE OF BIRTH, HEIGHT, WEIGHT, HAIR COLOR, EYE COLOR, GENDER, ALLERGIES, DO YOU NOW HAVE OR HAVE YOU EVER HAD ANY OF THE FOLLOWING, DIETARY RESTRICTIONS OR LIMITATION, PAST SURGICAL HISTORY, 5 IMMUNIZATION fields, MEDICAL INFORMATION, and 3 SOCIAL HISTORY fields.

3. Please note that in the "DO YOU NOW HAVE OR HAVE YOU EVER HAD ANY OF THE FOLLOWING" section that you MUST check either YES or NO to every question. Any YES answers require an explanation for each "YES" to be made in the REMARKS section on the back of the form.

4. PARENT/GUARDIAN MUST "wet" sign (actual signature in ink) on the back of the form if the cadet is under the age of 18 on 24 JUN 2018. Only one signature is necessary.

CAPF-161: This form requires only information. No signatures required.

CAPF-163: This form is only required if the cadet is under the age of 18 by 24 JUN 2018.

1. ALL FIELDS on this form MUST be filled in with either information or "NONE". If a field is left blank, the form will be returned to you to be revised and your registration will not be considered "complete" until the form is returned and deemed "complete".

2. PARENT/GUARDIAN MUST "wet" sign (actual signature in ink) on the back of the form. Only one signature is necessary.


ALL FORMS SHOULD BE EMAILED TO ENC-DA@VAWG.CAP.GOV BY 15 JUN 2018.

IF I CAN'T PAY ONLINE, WHAT DO I DO?

If you are unable to make payments online please indicate "PAY BY CHECK" on the registration page and please send your check postmarked no later than 15 JUN 2018 to:

NOTICE: NO REFUNDS WILL BE GIVEN AFTER 2359 on 17 JUN 2018 without extenuating circumstances. Requests will be reviewed on a case by case basis.


CADETS WHO APPLY AFTER 1800 on 6 JUN 2018 WILL NOT RECEIVE T-SHIRTS.

You may still register and attend, but you will not receive encampment t-shirts.


CAN YOU TELL ME ABOUT FOOD AND LODGING?

Lodging will be provided in open-bay barracks, divided by gender and membership category (cadets/seniors). These barracks are equiped with a bunk bed for each member. Linens will be provided (top sheet, bottom sheet, pillow case, and blanket). There are individual shower and toilet stalls on each floor.

All participants must bring their own towels. A detailed equipment list will be sent out in your acceptance package.

Food is provided. Please indicate any dietary restrictions and allergies when you register as well as on your CAPF 160.
